- Newsletter subscriptions: until cancellation

13. Images, video and the 359 Progress System
Within 359.tennis, photos, video recordings and observations may be used as part of the 359 Progress System. This system helps us to:
- track player development more accurately;
- guide and develop coaches more effectively;
- support parent communication and evaluations;
- improve quality and consistency within the coaching team;
- make progress more visible for player, parent and coach.
Internal use: Images and video may be used internally for lesson analysis, progress tracking, coach development, parent conversations, quality assurance and handover within the 359 team. Access is limited to people who need it for coaching, organisation or quality assurance.
External use: Recognisable images are not published externally on websites, social media, advertising, testimonials, cases or presentations without separate consent.
Minors: For underage players we request consent from the parent or legal guardian. We handle images of children with extra care and do not publish vulnerable, sensitive or negative situations.
No names without separate consent: We do not use the full names of children alongside recognisable images, unless separate explicit consent has been given.
No medical or diagnostic use: Video and observation material is not used for medical, psychological or diagnostic assessments.
Withdrawing consent: Consent for external use can be adjusted or withdrawn at any time for future use by contacting 359.tennis. Content we manage ourselves will be removed as soon as reasonably possible. Already-distributed print material or content outside our direct control may not always be fully retrievable.
Retention periods: Internal progress material is not kept longer than needed for coaching, evaluation, quality assurance and reasonable administrative purposes. 359 applies the following operational guideline:
- internal progress imagery: current season + 12 months maximum;
- coach observation footage: 12 months maximum;
- external media: periodic review and removal on withdrawal where possible;
- consent records: as long as needed to demonstrate consent and withdrawals.
